Privacy Policy

1. What we collect

From families:

• Your account: name, email address, and a sign-in method (a one-time email code, or a password if you chose one).
• Children you save to your account: name, date of birth, and any health details you choose to add (allergies, medications, medical conditions) and notes.
• Registrations you submit: your child's details, your contact details, an emergency contact, answers to the program's questions, your consent, and, if the program has a waiver, the waiver text you signed, the name you typed and when.
• Searches and saved programs, so the site can show you relevant programs.

From programs and clubs:

• Team members' names, email addresses and roles.
• Everything you put on your club page: text, photos, logos, programs, schedules, waivers and payment instructions.
• Messages you send to families through YUUF.

Automatically: basic technical information such as IP address, browser type and pages visited, used to keep the service secure and working.

2. Who sees your information

• When you register for a program, your registration, including health details and your signed waiver, is shared with that program's organization. Only people that organization has added to its YUUF team can see it, and only owners and editors can change it.
• Each organization is responsible for how it uses the registrations it receives, including what it exports from YUUF.
• Saved children and family details stay on your account. A program only receives them when you submit a registration to it.
• Service providers that run YUUF for us (hosting, database, and email delivery) process data on our behalf and only for that purpose.
• We do not sell personal information, and we do not share it for advertising.
• We may disclose information if the law requires it or to protect someone's safety.

3. Children

YUUF is used by parents, guardians and program staff, not by children. Children's information is entered by a parent or guardian, and we use it only to complete the registrations that parent submits and to fill in later forms for them. If you believe a child has given us information directly, email privacy@yuuf.org and we will delete it.

4. Payments

YUUF does not process payments today. When a program shows payment instructions, you pay the program directly, and YUUF never sees your card or bank details. Programs may record in YUUF whether a registration has been paid.

5. Program listings

Our directory of programs is built from information programs publish on their own websites. Each listing links to its source and shows when we last checked it. Programs can claim a listing to manage it, or ask us to correct or remove it at programs@yuuf.org.

6. Email

We send emails you need: sign-in codes, registration confirmations, and messages from programs you registered with. Program messages come from YUUF on the program's behalf, and replies go to the program. You can ask a program to stop messaging you, or contact us.

7. How long we keep information

We keep account information while your account is open. Registrations are kept so families and programs have a record of signups and signed waivers; programs may need these records for their own insurance or legal obligations. When you delete your account, we delete your saved children and profile. Registrations you submitted remain with the programs that received them unless you ask us to delete them, subject to those obligations.

8. Security

We use encrypted connections, hashed sign-in codes and passwords, and access controls that limit registrations to each organization's own team. No system is perfectly secure; if we learn of a breach that affects you, we will tell you as the law requires.

9. Your choices

• See, correct or delete the children and details saved to your account in My family.
• Ask us for a copy of your information, or to delete it, at privacy@yuuf.org.
• Ask a program directly about the registrations it holds.
